Medical equipment purchasing questions

Questions for clinical teams, operating room nurses, biomedical engineers and procurement staff when reviewing models and requesting quotations.

FOR CLINICAL & PROCUREMENT TEAMS

Questions for clinical and procurement teams

Start with documented information, then confirm the requirements for your selected model.

01Can positioning accessories be used with another brand of table or chair?

Yes. HERBERT reviews compatibility and supplies clamp configurations for other brands of operating table. Mounting options are normally available across table models; send the make and model so the team can select the appropriate configuration rather than assuming one clamp fits every table.

The review considers rail cross-section, attachment points, available mounting space and the table’s accessory limits. Share photographs of the rail and mounting area, rail measurements if available, the accessory required and the intended application.

This lets the team check the proposed setup before quoting and specify the included clamps and accessories, helping you retain suitable existing equipment and avoid incomplete orders.

02What should we request when assessing C-arm compatibility?

All HERBERT operating-table models support use with a C-arm. The best choice still depends on the imaging location, intended procedure and room layout: C-arm support does not mean identical access or imaging coverage across every configuration.

Compare the documented radiolucent area, base and column positions, height range and longitudinal travel where provided. Review these against your C-arm dimensions and positioning accessories with the clinical and biomedical engineering teams.

Send your C-arm model, required imaging regions and space constraints so sales can help compare suitable table and accessory configurations. If you need a pre-purchase evaluation, discuss the available demonstration setup and assessment requirements with sales.

03What should we review when selecting stirrups or leg holders?

Start with the intended procedures and patient range, then compare the support design, adjustment and locking mechanisms, mounting configuration and model-specific load limits. Price or a single load figure alone will not show which setup suits your team.

Clinical users should review adjustment access, support dimensions, pads, cleaning requirements and the manufacturer’s instructions. Do not infer pressure-injury prevention or other clinical benefits from product photographs alone.

Send the table model, intended application, patient-weight requirements and any difficulties with existing equipment. Ask the quotation to identify whether left and right supports, clamps, pads and other components are included, so competing configurations can be compared consistently.

04Where can we confirm cushion properties and cleaning instructions?

The cushions have PVC upholstery and can be cleaned using cleaning or disinfectant products intended for wiping medical equipment, following applicable product-care and disinfectant instructions.

If your hospital specifies a particular agent, send its name, active ingredient and concentration for a material-compatibility review. This does not establish compatibility with every formulation, concentration, soaking process or sterilization method.

For purchasing, consider pad dimensions, replacement arrangements and availability alongside the cleaning process. If pressure redistribution or anti-static performance is required, request evidence for the selected model rather than inferring those properties from the upholstery material or appearance.

05Are patient load capacity and safe working load interchangeable?

No. Patient load capacity and safe working load should not be treated as interchangeable without checking the manufacturer’s definitions and conditions. Ratings must correspond to the actual table, accessories and positioning configuration.

The HERBERT leg-holder catalog states a 200 kg patient load capacity for three versions. This is not a 200 kg rating for one holder and does not establish the safe working load of the complete table system. Check the applicable mounting, clamp and rail requirements.

Provide the target patient-weight range, accessory list and required positions. Request the relevant ratings and conditions for each component so procurement and clinical users assess the same delivered configuration.

06Do electric tables include a backup battery?

An electrically powered table does not automatically include a backup battery. Battery availability and the functions supported during a power interruption must be confirmed for the offered model and configuration.

Ask whether a battery is included or optional, how it charges, how its status is indicated and which adjustments remain available without mains power. Any operating-cycle or runtime figure should include its stated test conditions. Also request replacement and maintenance information.

Include your power-loss requirements in the quotation request so the proposed battery configuration and any acceptance checks are agreed before purchase. C-arm compatibility alone does not establish battery availability.

07How do we request ISO 13485, Thai FDA, MiT or tender documents?

HERBERT is ISO 13485 certified, and the company confirms MiT certification for all its Thai-manufactured product items. Send the model and required document list to request procurement documentation. SGS ISO 13485:2016 and ISO 9001:2015 documents are available on the certificates page for an initial review.

For tenders, share the specifications, product codes, quantities and submission deadline. Check that the certificate holder, scope and product identification match the evidence required. Quality-system certification and MiT documentation serve different purposes.

If Thai FDA, CE or specific test evidence is required, request a separate model-specific review. ISO or MiT documentation should not automatically substitute for these records. Early document review helps identify a suitable offer before the submission deadline.

08Can we discuss demonstrations, training and delivery schedules?

HERBERT provides demonstrations and training at the delivery location at no additional charge. For a demonstration or trial before purchase, send the model, location and preferred timing so sales can separately confirm the available arrangements.

To make delivery training useful, identify the participants and requested topics: accessory installation, adjustment and locking, controls and care according to the instructions. Tell the team about any existing equipment that will be used with the delivered products and agree the scope and schedule in advance.

Typical delivery is 60–90 days and varies by selected model. Provide quantities, destination and your required opening date. Ask sales to confirm the delivery schedule and when the lead time begins in the quotation or agreement so receiving and training can be planned together.

09What should we confirm about warranty, spare parts and preventive maintenance?

HERBERT provides a two-year warranty and inspection visits every six months. Confirm the warranty start date, coverage and inspection schedule in the project quotation or agreement.

Review coverage for the structure and applicable electrical or hydraulic systems, plus the terms for batteries, cushions and consumable components. Clarify exclusions, labour, travel and parts charges: a two-year warranty does not by itself establish that every component or service is free in every situation.

Agree the six-month inspection checklist and records, and how these fit your hospital’s PM programme. Ask about repair contact channels, response arrangements, service coverage and important spare-part lead times. Share the installation location and equipment quantity so the service proposal can be assessed alongside the purchase price.
